You Bought a Practice. Now What? The 90-Day Marketing Transition Plan
A phase-by-phase plan to rebrand, keep existing patients, and grow after you buy a practice.

Congratulations. You just signed the biggest check of your life.
Now the real work starts, and it's not clinical. The number one factor that determines whether your acquisition thrives or flatlines in the first six months is how well you market the transition.
Most new owners underestimate this. They assume the existing patients will just keep coming, that the previous doctor's reputation transfers automatically, and that a new sign on the building is enough. It's not. Patients are loyal to their dentist, not the practice name. Without a deliberate dental practice acquisition marketing strategy, you'll watch patient attrition eat into the revenue you just paid a premium for.
Here's the 90-day marketing transition plan we use at WeCapture Dental, built from real acquisitions and real results.
Before You Touch Anything: The Pre-Acquisition Assessment
Before the deal even closes, you need answers to questions that will shape every marketing decision you make.
Are you keeping or changing the practice name? Is the previous doctor staying on for a transition period, or are you taking over cold? Do you have access to the existing patient database, including emails, phone numbers, and communication history? What's the practice's current Google rating, review count, and online presence? What is the existing patient flow, and how much of it is insurance-driven versus referral-driven?
These aren't minor details. A practice with 200 Google reviews and a 4.8 rating under the old name is a very different marketing challenge than one with 14 reviews and a 3.9 rating. Your strategy has to match the reality you're inheriting.
Audit the digital footprint: website, Google Business Profile, social media, directory listings, and review platforms. Identify what to preserve, what to update, and what to rebuild from scratch.
Phase 1: Branding Prep (Weeks 1–4)
Whether you're doing a full rebrand or a soft refresh, the brand work starts immediately.
Develop your brand guidelines: logo, colors, typography, voice, and visual identity. Even if you're keeping the existing name, you need to make it yours. Patients should feel the energy shift the moment they see your marketing.
Secure your domain, email, and social media handles. Build or redesign the website with your story, your team, your services, and clear messaging about the transition. The website should answer the one question every existing patient has: "Is my dentist changing, and should I stay?"
Set up your marketing infrastructure: review generation, referral automation, patient reactivation sequences, appointment reminders, and lead tracking. These systems need to be live before you start driving traffic.
Schedule your Media Day. This is non-negotiable. Professional headshots, a "Meet the Doctor" video, practice photography, and patient testimonials (if available) give you content to fuel your marketing for months. A single production day can deliver 30-plus assets ready for social media, your website, and advertising.
Phase 2: The Soft Launch (Weeks 4–6)
This is where most acquisitions are won or lost.
Send a personal email and SMS introduction to the entire existing patient database. Not a corporate announcement. A genuine message from you: who you are, why you chose this practice, and what patients can expect going forward. This single communication is the highest-leverage marketing move in the entire transition.
Launch your referral program. Existing patients who feel good about the transition are your best source of new patients. Give them a reason and a mechanism to spread the word.
Begin posting on social media. Introduce yourself, your team, and your vision for the practice. Show behind-the-scenes content of the new look, the new energy, and the new standard of care. Patients want to feel excited about what's coming, not anxious about what's changing.
Activate your review capture system. Every patient visit in the first 60 days is an opportunity to build your review profile under new ownership. Practices with 100-plus reviews attract roughly four times more calls than those with fewer than 20. Start building that foundation immediately.
Kick off patient reactivation campaigns targeting lapsed patients from the previous owner's database. Many of these patients drifted away due to neglect, not dissatisfaction. A fresh introduction from a new doctor is often enough to bring them back.
Phase 3: Grand Opening (Weeks 6–10)
Even though the practice technically already exists, you're new. Treat it like an opening.
Host a grand opening event. Invite existing patients, local businesses, referring providers, and the surrounding community. Offer a limited-time promotion tied to the event. Capture photos and video to fuel content for the next quarter.
Launch paid advertising campaigns on Google and Meta. Target new patient acquisition with service-specific ads for your highest-value procedures. Run geo-targeted awareness campaigns introducing you to the community.
Continue the cadence: weekly social posts, ongoing review generation, email nurturing, and referral program promotion. The grand opening creates a spike of attention. Your systems convert that attention into long-term patients.
Phase 4: Post-Launch Growth (Weeks 10–90 and Beyond)
The initial buzz fades. Your systems shouldn't.
Establish monthly performance reporting: new patient volume, Google and social media analytics, website traffic, review growth, and funnel metrics. Use the data to double down on what's working and cut what isn't.
Scale your content production. Monthly video, photography, and social media content keeps the practice visible and the brand growing. SEO efforts from this phase start compounding by month four to six.
