The Startup Practice Marketing Timeline: What to Do 12 Months Before You Open
The month-by-month plan we use so new practices open with a brand, a reputation, and a pipeline already built.

You're not behind because you haven't opened yet. You're behind because you haven't started marketing yet.
Most dentists treat marketing like the last item on their pre-opening checklist, somewhere between ordering business cards and stocking the break room. Then opening day arrives, Google has never heard of them, insurance panels are still "processing," and the schedule looks like a ghost town.
Here's the truth: the practices that hit the ground running didn't get lucky. They started 12 months out.
This is the month-by-month startup dental practice marketing timeline we use with every new practice owner at WeCapture Dental, and it's designed so you walk into your grand opening with momentum already built.
Months 12–10: Lay the Strategic Foundation
Before you pick a logo color, you need clarity on three things: who you're serving, what makes you different, and how you'll talk about it.
Start with a competitive audit of your market. How many practices are within a five-mile radius? What's the average Google rating? What are they saying (or not saying) on their websites? This gives you the positioning gaps you can own.
Define your ideal patient. A cosmetic-focused boutique practice in Manhattan markets very differently from a family-friendly office in suburban Texas. Your brand voice, offers, and channels all flow from this decision.
Build your brand identity: name, logo, color palette, typography, and messaging guidelines. Everything from your website to your patient forms should feel cohesive. This isn't vanity work. It's the foundation every future marketing dollar gets built on.
Months 9–7: Build Your Digital Infrastructure
This is where most startup owners lose the race without realizing it.
Claim your Google Business Profile immediately. Google needs weeks to verify your listing, and the profile itself needs time to index and gain traction. Practices that set up their GBP six months before opening show up in local search results by launch day. Practices that wait until opening week are invisible for months.
Launch your website. Not a placeholder page. A real, mobile-optimized, SEO-ready website with your services, your story, an online booking option, and clear calls to action. SEO takes six to nine months to show measurable results in most dental markets. Every week you delay is a week of organic traffic you'll never get back.

Start publishing content: blog posts targeting local search terms, service pages optimized for the procedures you want to be known for, and FAQ content that answers what patients are actually searching. This content compounds over time, and the earlier you plant it, the sooner it ranks.
Set up your social media profiles on Instagram and Facebook. You don't need to post daily yet, but the accounts need to exist, be branded, and start building an audience.
Months 6–4: Start Credentialing and Visibility Campaigns
Insurance credentialing is the silent killer of new practice revenue. The typical credentialing cycle runs 90 to 120 days with most major carriers, and some payers like Delta Dental, United Healthcare, and Medicaid can stretch past 180 days. If you wait until your buildout is done to start, you'll spend your first three to six months seeing insured patients you can't bill at in-network rates.
Submit all carrier applications simultaneously. Get your CAQH ProView profile completed first, since over 90% of carriers pull from it. Apply to your top five to eight carriers in the same week and follow up every two weeks. Professional credentialing services cost $150 to $300 per carrier and typically compress timelines by two to four weeks, and they're worth every dollar during a startup.
While credentialing processes in the background, start building local visibility. Introduce yourself to referring physicians, pediatricians, orthodontists, and specialists in your area. Join your local dental society. Get involved in community events. These relationships drive referrals from day one.
Launch a pre-opening email and SMS list. Offer a "founding patient" incentive for people who sign up before you open. This gives you a warm audience ready to book the moment your doors open.
Months 3–1: Content Production and Launch Prep
Now it's time to create the content that makes your first impression unforgettable.
Schedule a Media Day. Professional photography and video of your office, your team, your equipment, and you. These assets power your website, social media, ads, and patient communications for months. A single Media Day can produce 30 or more pieces of content, enough to post consistently for two to three months without creating anything new.

Build out your patient communication systems: automated review requests, referral program flows, appointment reminders, and reactivation sequences. These systems should be live and tested before a single patient walks through the door.
Prepare your launch campaigns. Design a new patient offer that drives urgency without devaluing your services. Create email and SMS sequences for your founding patient list. Plan a grand opening event with a specific date, promotion, and social media push behind it.
Start running targeted awareness ads on Meta and Google two to four weeks before opening. These aren't conversion campaigns yet. They're letting your community know you exist, you're almost open, and you're accepting new patients.
Launch Week and Beyond
Your grand opening isn't the finish line. It's the starting gun.
In the first 30 days, focus on review generation. Ask every single patient for a Google review. Practices that build to 100-plus reviews see roughly four times more calls than those with fewer than 20. The review velocity you establish in month one sets the trajectory for your entire first year.
Continue posting content, running ads, and nurturing your patient list. Track everything: new patient calls, website traffic, ad performance, and review growth. Adjust monthly based on what's working.
The practices that struggle after opening are almost always the ones that started marketing on opening day. The ones that thrive planned 12 months ahead and walked in with a brand, a reputation, and a pipeline already built.
Stop Waiting. Start Building.
If you're 12 months out from opening, you're in the perfect position. If you're six months out, you need to move fast. If you're opening next month and haven't started, you have ground to make up, but it's not too late to do it right.
At WeCapture Dental, we build startup marketing timelines that turn new practices into established brands before the doors even open. From brand development and website builds to Media Days, SEO, and patient acquisition systems, we handle the entire launch so you can focus on what you do best.
